How to set up an email account

In this section I will show you how toset up an email accountin Outlook 2003. The example email account I will use is provided by a European internet service provider named Tiscali. Tiscali offers both a POP3 and SMTP service, allowing me to retrieve and send email through their servers.

When run for the first time, Outlook 2003 will show you a 'wizard' asking you if you want to set up a new email account. You can configure Outlook to connect to a Microsoft Exchange Server, Internet Email, or other Email server. Would you like to configure an Email account? Choose 'yes' and click NEXT and you will see the Email accounts window displayed below. If you have already run Outlook , open the Email accounts wizard as follows.

  1. ChooseTools > Email Accounts...
  2. Select Add a new email account...and click NEXT server
  3. Choose POP3in the server type Windows and click NEXTpop3
  4. The Internet Email Settings (POP3) window above is where you set the details of your email account. Fill out your name in theYour Namefield. This is the sender name that will be attached to the mails you send. Your recipients will use it to identify you. Fill out your email address in the Email Address field. Enter your user name and password in theUser NameandPasswordfields. Often, the first part of your email address is also the login name for POP3. Your email provider should be able to tell you how to retrieve these account details if you don't know them.
  5. Fill out the address of your mail provider'sIncoming mail server. This is usually something like pop3.yourmailprovider.ext or mail.yourmailprovider.ext.
  6. Fill out the address of the SMTP server you want to use in theOutgoing mail serverfield. Tiscali offers both POP3 and SMTP, so I chose to receive and send my emails through Tiscali's servers. SMTP addresses or often formatted like smtp.yourmailprovider.ext or mail.yourmailprovider.ext.
  7. Now test if the account you set up works by clicking theTest Account Settingsbutton. If the settings are correct you should see something like this. 'Test

If the test fails, check the error tab to see what went wrong. You will probably have entered a wrong server address or a wrong user name or password. If the email account you set up work, than click NEXT and FINISH to return to the main Outlook 2003 window. You can now test your account by sending an email or by clicking theSend/Receivebutton to retrieve new emails from the POP3 server.

Now that you have set up an email account I will discuss some of the characteristics and features of the Outlook user interface.
